HOSPITALITY MANAGEMENT INTERN

Exercise your creativity while developing your logistics and execution skills as you help us welcome 150 limb-different children, 80 limb-different coaches and their families to our annual Southern Illinois All Sports camp. We are looking for an event planning intern to oversee special events and our meal program as we serve more than 2,600 meals to hungry kids and coaches in five days. This is an excellent opportunity for a student interested in real-world, hands-on experience in food and beverage operations and special events.

RESPONSIBILITIES
Food and Beverage Management
– Serve as point person for all camp meal and event menu planning.
          – Design menus based on budget and nutritional needs.
          – Research and cost recipes.
          – Prepare orders; order meals and meal components.
          – Research and create plans to accommodate individual coach and camper dietary restrictions, including allergies, religious requirements, vegan/vegetarian needs, etc. Oversee implementation.
– Implement cost controls to ensure hospitality program remains under budget.
          – Assist in the creation and real-time tracking of program budget.
          – Solicit food donations.
          – Source cost-effective vendors; negotiate for discounted food rates where payment is required.
          – Confirm orders, logistics schedules and final number guarantees to suppliers and third party caterers.
          – Design and implement survey and registration processes that provide a more accurate view of attendee numbers prior to events.
          – Maintain and report accurate final count of attendees at each event.
          – Process all program payments; assist in post-event budget reconciliation, cost breakdown analysis and recaps.
– Create and update detailed meal program project plan.
          – Maintain and confirm food delivery schedule. Pick up food that cannot be delivered.
– Direct daily kitchen activities during camp, managing food production to ensure food safety and quality. (Note: A member of the school district’s cafeteria staff is on-site at all times in the cafeteria to assist during camp.)
          – Manage event volunteers, including scheduling, training and delegating responsibilities.
          – Prepare production sheets, prep plans/timelines and other organizational tools for running kitchen operations.
          – Lead food preparation team in proper sanitation and food safety practices, ensuring that premises are kept clean and that safe food handling requirements are observed.
          – Oversee storage of food items in a safe, hazard-free and organized environment.
          – Clean kitchen (with volunteer team) to school district specifications at the end of camp.

Event Planning
– Design unique and memorable hospitality events, including Rookie Reception for new camper families (80 attendees), Camp Launch Party (600 attendees), Camp Pool Party (300 attendees) and donor recognition events.
          – Brainstorm themes, activities, memorable moments and promotions with communications team.
          – Tour sites; design decor, signage and layouts.
          – Identify and procure sound and AV needs.
          – Coordinate all vendors, including caterers, musicians, emcees and other suppliers.
          – Design and document run of show. Create any needed scripts.

Event Promotion
– Create and implement communications program to help families understand meal options and camp-wide events.
          – Write camp update promotional email and send through MailChimp.
          – Create invitations, registration forms and event signage in Canva.

Other
– Arrange for delivery of unused food to area food pantries after camp.
– Solicit restaurant discount coupons and recommend additional copy for camp program book.
– Assist Coach Hospitality Lead as requested.
– Support camp logistics efforts as needed during crunch time. We are a team so if equipment needs to be hauled or packets need to be stuffed, we all pitch in.

AVAILABILITY
Internship start/end dates and hours are flexible; however, this intern must be available to work full days on-site every day from July 15th through July 21st. Some weekend work may be required to support camp operations and organization fundraisers.

QUALIFICATIONS
– Track record of organizing and leading complex projects and people.
– Ability to build and manage budgets.
– Knowledge of safe food handling practices. Food safety certification preferred.

PAY
NubAbility offers a $2,000 stipend for this internship provided the intern works for three months with a total of 300 or more hours worked.
