OPERATIONS ASSISTANT
We are looking for an enthusiastic, organized operations assistant to help us with year-round camp logistics, promotions, research and office management.
RESPONSIBILITIES
Camp Logistics
– Make all coach travel and lodging plans. Schedule transportation to and from airport. Maintain master list of lodging assignments. Maintain and administer on-site coach transportation. Track coach reimbursements.
– Maintain master camp schedule.
– Group and schedule campers for sessions.
– Communicate scheduling information to families
– Create volunteer schedule and send confirmations. Work with local groups to recruit additional volunteers. Manage volunteer schedule on-site, including check-in and on-the-fly reassignments as needed.
– Support camp registration process.
– Plan camp opening and closing ceremonies, including AV needs.
– Create and implement packing lists and set-up checklists. Stage equipment and supplies. Assist with camp and event set-up and tear-down.
Merchandise and Supplies
– Ensure all merchandise and supply orders are accurate, including order tracking, inventory and distribution. Develop shared tracking log for office.
– Act as point person for t-shirt and swag orders, inventory and fulfillment.
– Put together camp swag bags, information packets and other materials. Lead volunteer groups in doing same.
Camp Promotions
– Develop call lists for each camp, make calls and follow up with camp information
– Area hospitals and clinics.
– Local camper families.
– Families who have previously participated in this camp.
– Assist in creation of All Sports camp program book, including coupon solicitation from local businesses.
Research
– Identify potential donors and sponsors as well as grant opportunities for both NubAbility Athletics and NubAbility Outdoors.
Other
– Support other foundation efforts as needed during crunch time. We are a team so if equipment needs to be hauled or mailings need to be stuffed, we all pitch in.
– Run errands as needed (mileage reimbursed).
– Answer phones, schedule meetings, make copies, provide general administrative support.
– Maintain a tidy office environment.
AVAILABILITY
– Twenty hours per week annually, with the option of increasing to forty hours per week May 22nd through July 22nd.
– Position must work out of NubAbility offices in Du Quoin, IL.
QUALIFICATIONS
– Excellent written and verbal communications skills.
– Meticulous attention to detail.
– Familiarity with Google Docs and Google Sheets (we will train on Active Camps and other software we use).
– Track record of successfully planning and organizing projects.
– Preferred: College degree in sports management, physical education, sports therapy or similar. Background in competitive organized sports. Familiarity with NubAbility and its mission.
PAY
$13.00/hour, paid twice a month.
